Step by step procedures compiled by Monique Jacobs (Project Administrator of Assessments)

  • Upon completion of a course, the learner is given a period of between 1-3 months to complete their Portfolio of Evidence (POE). The time period is dependent on the course level and amount of work required. Learners are informed of their submission date by their facilitator at the course.
  • All learners that attend the course are uploaded onto the relevant SETA’s website as ‘Enrolled’
  • 2 weeks before the portfolio is due, a reminder letter is sent to all learners informing them again of the POE due date.  In addition, it lists the essential documentation that learners are to submit with their evidence if they have not already done so during the duration of the course.
  • Once the POE is received, a letter is sent to the learner confirming that it has been received and that it is to be sent for> assessment. The assessment process can take up to 3 weeks.
  • After assessment, the assessor returns the files and each learner is sent their individual assessment report which they are required to sign and send back to Faranani.

    NB:  Without a signed assessment report, files cannot ultimately be sent for the external moderation due to the fact that a result cannot be verified if a learner has not acknowledged it.

  • If a learner is found to be Competent, they will be required to sign and send their assessment report as well as any outstanding documentation,  if any.
  • Learners who are found to be Not Yet Competent will be given one opportunity to remediate and be re-assessed in order to achieve Competency. The period for remediation is 2 weeks, however the amount of time allotted for re-submission is largely dependent on the amount of evidence that needs to be re-submitted.
  • The Not Yet Competent learners are then re-assessed. This can take up to 2 weeks, depending on the amount of files which are submitted for re-assessment.
  • A new assessment report is then sent to each learner with their re-assessment result and learners are once again required to sign and send this document to Faranani.
  • If learners are still found to be Not Yet Competent, they are given the option to re-submit their portfolios for a second re-assessment. However they do so at an additional cost.
  • All files are then submitted for an internal moderation. The moderator selects files at random.
  • If all results are upheld, the learners will be sent their Competent/Not Yet Competent letter stating that their assessment result has been upheld by the moderator.
  • If an assessment result has been overturned by the moderator, the learner is given an opportunity to remediate and be re-assessed in order to achieve Competency.
  • Once the assessment and moderation process has taken place, the files are uploaded onto the Services Seta website for ‘Achievement’.
  • The files are then part of the external moderation conducted by the SETA at the verification site visit that is held every 3-6 months.
  • Faranani then awaits the external moderation report from Services Seta stating whether or not the results have been endorsed.
  • If the results are upheld, the SETA issues the Statement of Results. Unfortunately the SETAs take a long time to send these due to their backlogs. Once we receive them however we proceed immediately to print and issue Competency Certificates to learners. Learners who remain Not Yet Competent and learners that attended the course but did not submit a Portfolio of Evidence will receive Certificates of Attendance.

    Two important points for learners to take note of:

    • Please make sure that you answer ALL the questions or we will have to send your file back due to “insufficiency”
    • Please make sure that you do not PLAGIARISE as we immediately find the learners whose files are identical NYC and do not offer reassessment until it is proved which learner is responsible.
